What is data protection and how does it apply?
Protecting our client’s data is something that we have always done and is very important to us. Until recently we have had to comply with the Data Protection Act 1998 when deciding how to process the data of our clients.

The data ‘controller’ determines the purposes and means of processing personal data. The data processor is responsible for processing personal data on behalf of a controller. TECHTRIO Ltd acts as a data controller. We are obliged under the General Data Protection Regulation to advise you of our obligations to you and also our contact details.
The data subject
The data subject for the purposes of data protection laws is you our Customer/Client. The confidentiality of your data is incredibly important to us.
How we collect your information
We may collect your personal data by means of the website or by telephone, email, fax, or post. We may collect this data in the following ways:
- Upon receipt of your completed credit application form
- Directly from you, when you submit an order for a purchase, make a request for administrative or technical support, or contact us for other reasons
- When we, from time to time, contact you regarding product, administrative or technical support matters
- From someone else who is submitting an order for a product or service on your behalf
- From someone else who is seeking administrative or technical support on your behalf
The types of information we collect
We may collect the following types of personal information about you:
- Contact information, including email addresses, telephone numbers and postal addresses
- Records of communications and interactions we have had with you
- Financial information, including bank account details, debit card details, and credit card details
- Information relevant to our provision of support to you, including details regarding your computer hardware and software
The purpose of processing your data
We are required to tell you the reason your data is required. Unless we hold certain data about you such as your name, company address, email, telephone number, bill to and ship to address etc we are unable to set you up as a customer and provide IT supplies and services. Personal data is processed only for the purposes for which it is required. Your data is processed by our suppliers and distribution network who are also bound by GDPR compliance policies and data protection principles affecting all organisations in the UK and EU.
Why we use personal data
We use your personal data in order to enable us to deliver and charge for the supply if hardware, software and services we provide in accordance with our contractual obligations, including the provision of administrative and technical support. For the purposes of the General Data Protection Regulation (“GDPR”) and UK data protection laws, when processing your personal data we are relying on the legal basis of:
- Our contract with you
- Our legitimate interest in being able to take payment from you. We rely on this legitimate interest payment is received and processed by our bank.
The legal bases that we hold and process your data
Legitimate Interests – We use your data only for the purposes of ensuring the successful and accurate supply of goods and service. The processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests.
If we ever need to change the bases on which we are processing your data we will advise you of this as soon as practicable.
Sharing your data
We do not sell your personal data. You must be aware that we may have to share your data during the normal course of dealing with third parties such as the Manufacturers, service providers, and License providers to give just a few examples. We may not always be able to tell you in advance who we are sharing your data with, however, please be assured that all the third parties we share client’s data with also must comply with the same laws and meet the same standards that we do.
How long can we store your data?
Please note that any information that you provide will only be held for as long as necessary for the purpose for which it was provided. We keep your personal data only for as long as necessary. We keep your contact information until we consider there is no need to provide administrative or technical support or until you request it to be erased.
Keeping your data up-to-date
We must also keep your data as up-to-date as possible throughout the duration of your file with us. If you change your name, your address, telephone number and or banking details please keep us informed and call us as soon as you become aware. Your data rights:
Under the legislation you have the following rights:
- The right to request access to and rectification or erasure of personal data;
- The right to restrict the processing concerning the data subject or to object to processing;
- The right to data portability;
- The right to withdraw consent at anytime, without affecting the lawfulness of processing based on consent before its withdrawal, where the processing is based on consent (see Article 6(1)(a) Article 9(2)(a)); and
- The right to lodge a complaint with a supervisory authority.
What happens if you fail to provide your data
If you fail to provide us with the data we need to successfully transact on your behalf; then we will be unable to proceed the supply of goods and or services. If you wish us to continue supply and service you must provide us with the data we have asked for within a reasonable time frame. You have no statutory or contractual obligation to provide such data to us, however, it would prevent us from fulfilling the supply of goods and services as per T&C’s.
Your right to be informed
If we intend to process your data for any other reasons than already stated above we will inform you of this in advance and your rights in relation to how your data will be processed.
